How to Create a Receipt

Shipology – Quick Receipt Creation GuideStep 1: Navigate to Receipts
  • On the left-hand menu, click Receipts.
  • Click Create Receipt.
Step 2: Select Customer & Warehouse
  • Customer: Select your company name from the dropdown.
  • Warehouse: This field will auto-populate.
Step 3: Reference ID
  • Enter a unique reference ID.
    • This can be any identifier you like; it does not affect Shipology.
    • If you do not have a PO number, you may use today’s date.
  • Click Save.
Step 4: Fill Additional Fields
  • The screen will populate with multiple fields, most of which are not required.
  • You may fill them as needed.
Step 5: Enter Tracking Information
  • For cartons: Enter the tracking number or master tracking number in the Trend Information field.
  • For pallets: Enter the PRO number under the Bill of Lading Number field.
Step 6: Notes Section
  • Use the Notes section to provide any instructions prior to receiving, for example:
    • “Confirmed inventory” if you want the receipt counted upon arrival.
    • Any other special instructions related to the shipment.
Step 7: Add Receipt Line Items
  • Scroll to Receipt Line Items.
  • Use the navigation buttons to jump directly to this section if needed.
  • Add items using the dropdown menu populated with your item list.
    • If the item is new, create it in the Item Menu before creating the receipt.
  • Example:
    1. Select SKU for 100 Chocolate Chip Cookies, enter quantity, click Add.
    2. Select SKU for 100 Oatmeal Raisin Cookies, enter quantity, click Add.
  • Continue adding items as needed.
  • Once complete, click Close.
  • Items will appear in the receipt summary at the bottom-left corner as you add them.
Step 8: Specify Cartons or Pallets
  • Scroll down to the section for Cartons or Pallets.
  • Enter either the number of cartons OR pallets (do not fill both).
  • Click Save.
  • You may now exit this screen.
Step 9: Verify Receipt
  • Go to Receipts → Find Receipts.
  • Confirm that the receipt you just created appears in the list.
Step 10: Print Labels
  • Navigate to Documents → MU Label.
  • Print carton and/or pallet labels.
Important:
  • Labels ensure fast receiving and correct association of cartons/pallets to the receipt.
  • The system will auto-populate your transaction and customer information.
  • For each carton or pallet, fill in either the product title or SKU, and enter the quantity in that specific carton or pallet.
