Shipology Inbound Receiving Guidelines
When sending a shipment to Shipology, follow the steps below. Shipments that arrive without an inbound receipt and/or carton labels are subject to receiving delays and surcharges.

- Create an Inbound Receipt in Extensiv
Include the following on the receipt:
- SKUs
- Quantity per SKU
- Cost per SKU
- Total number of cartons/pallets
- Any special receiving instructions
If your products require lot, expiration, or serial numbers, enter this information in the appropriate Extensiv fields.
New SKUs: Complete Shipology’s product import template so our team can import your items. You will not be able to add new SKUs to a receipt until the SKU has been set up in Extensiv.
- Carton/Pallet Labels (Required)
All cartons and pallets must arrive labeled.
Steps to generate labels:
- Open your receipt in Extensiv → Documents → MU Label → Download.
- Print a 4" × 6" label for every carton and/or pallet.
- On each label, fill in product description, SKU, and quantity.
- Indicate the total number of cartons/pallets so we know how many to expect.
- Affix the label to the outside of each carton/pallet.
- Packing Guidelines
- Pack items in single-SKU cartons whenever possible. Mixed-SKU cartons require itemization and counting on arrival and will incur an extra handling charge.
- Pallet specs: 40" × 48" footprint; max height 55".
- Barcode Requirements
- Every unit must have a scannable barcode.
- If a product is missing a barcode, a $0.50 per-unit barcoding service fee applies.
- Barcodes must be placed in a visible location on the outside of each product.
- If a product is in a poly bag, place the barcode on the outside of the bag.
- Minimum barcode size: 1.5" L × 0.75" H.
- Edits and Chargebacks
- Receiving Orders (ROs) are subject to chargebacks if Shipology must edit the receipt (e.g., incorrect lots or quantities).
- Each SKU must be packed separately—no mixed-SKU cartons (e.g., different sizes of the same product must be in individual boxes).
- Inner cartons must be boxes and clearly labeled on the outside with SKU and quantity. Bags or other materials will be re-packed into boxes to be inventoried and assessed special project fees.
- All units must be barcoded (excluding inserts & custom packaging). If Shipology must apply barcodes, inventory availability will be delayed.
- Carton Limits (Chargebacks Apply if Exceeded)
- Max weight per carton: 50 lbs
- Max dimensions per carton: no single side > 30"
Any carton exceeding these limits is subject to a $50 per-carton chargeback.
- Pallet Limits (Chargebacks/Fees Apply if Exceeded)
- Max weight per pallet: 2,000 lbs
- Max dimensions per pallet: 48" L × 40" W × 50" H
Any pallet exceeding these limits is subject to a $200 per-pallet chargeback.
Pallets heavier than 2,000 lbs may incur additional monthly storage fees.
- Packaging Materials
Use adequate packaging to ensure products arrive safely and undamaged.
Absolutely no packing peanuts. Shipments containing packing peanuts are subject to a $50 per-carton chargeback.
- Container Unloading
All containers include 2 hours of unloading time.
If unloading exceeds 2 hours due to oversized product, broken or tipped pallets, or similar issues, Shipology may charge $55 per additional man-hour for unloading.
- Non-Compliance
Any shipment arriving without an inbound receipt or carton/pallet labels will incur processing delays and a $250 receiving chargeback.
